Aivo is an AI phone assistant for local, owner-operated service businesses. It answers the inbound calls a business misses (overflow, no-answer, or after-hours), and it delivers what the caller needed to the business by text and email. This page says plainly what Aivo collects, who processes it, how long it is kept, and how to have it deleted.
When Aivo answers a call for a business, that business is the controller of its callers' information. Aivo processes that information on the business's behalf, as its service provider. For a business's own account information, Aivo is the controller.
How Aivo behaves on a call
At the start of every call, Aivo identifies itself as an AI assistant and says that the call may be recorded and transcribed. It captures the caller's need using only the facts the business owner has approved. It never invents a price, availability, appointment, discount, warranty, or policy. Anything outside the approved facts is answered with a plain "the owner will confirm." Urgent or sensitive calls are transferred to a person by fixed rules. Aivo does not collect payment-card numbers or identity documents on calls, and it does not give medical, legal, financial, or emergency-dispatch advice.
What Aivo collects from callers
- Contact and need. The caller's phone number and name, the reason for the call, and any location or timing they mention.
- Transcript. A transcript of the conversation so the business can see what was said.
- Recording. Where applicable, a recording of the call.
What the website collects from visitors
On tryaivo.io we record how the site is used: which pages and sections a visitor reaches, how long they stay, what they click, whether they try the live demo, and the details they choose to submit in a form. We set a first-party cookie with a random visitor id so we can see one visit as one visit; we do not use third-party analytics or advertising trackers, and we do not store your IP address (only a salted hash used to stop abuse). This data is kept for one year and is used to improve the site and to follow up on requests you send us.
What Aivo collects from the business
- The account holder's name, email, and mobile number.
- Business details and the owner-approved facts the agent is allowed to state.
- The escalation phone number used to transfer urgent or sensitive calls.
- Account and billing information.
Why Aivo uses this information
Aivo uses this information to answer calls, to capture and deliver leads to the business, to run and monitor the service, and to take payment. Aivo does not sell personal data, and it does not share it beyond the service providers listed below that are needed to run the service.
Who processes the data
Aivo runs on a small set of service providers, and each one sees only what its job requires:
- Twilio, for telephony and SMS.
- Retell AI, for real-time voice AI.
- Anthropic, for the language model.
- Resend, for transactional email.
- Supabase, for the database and authentication.
- Stripe, for payments.
- Vercel, for hosting.
How long Aivo keeps it
These are the retention windows as actually implemented in the product:
- Call transcripts and recordings are kept about 90 days. When a recording is purged, Aivo also deletes the copy held by its voice provider.
- Messages (the texts and emails about calls) are kept about 180 days.
- Caller contact details are scrubbed at about 365 days.
- Backups age out at about 14 days, so that deletions reapply after any restore and deleted data does not come back for long.
Export and deletion
Data export and deletion requests are handled by a person after the request is verified. A business can start one by emailing hello@tryaivo.io or by replying to any Aivo email. If you called a business that uses Aivo and want your call deleted, email hello@tryaivo.io with the number you called from and the business you called; once verified, Aivo deletes the transcript, the recording, and your contact details, and that deletion is reapplied after any backup restore. The retention windows above also apply automatically either way.
Security
Access is least-privilege and tenant-isolated. Each business sees only its own data.
No sale of data
Aivo does not sell call recordings, transcripts, contact details, or anything else. Data exists in Aivo for one purpose: getting the business you called to call you back well.
This is a draft. It will be reviewed with counsel before broad launch.
